One way this can look

The file is in there somewhere. Which one is final?

This one is for businesses on Microsoft 365, where files live in SharePoint (the shared file storage that comes with it). The files are all there. So are final_v2, final_v3_REAL, and the copy on someone's desktop. Here is one way to fix it: keep your files right where they are, and add what is missing. One final copy, a clear owner, and sign-offs kept on the file.

Your files stay in Microsoft 365.

What it does

It keeps track of the file. You give the OK.

No moving everything to something new. You start with the files that cause the most confusion, usually contracts or vendor files.

A file lands in the right place

Uploads and emailed files go to the same shared spot, named the same way, with the right people able to open them.

It gets tagged and sent for review

Each file is tagged with what it is, who owns it, where it stands, and how long you have to keep it. AI can suggest the tags; a person checks them. Reviewers see a short list of what needs them.

You sign off. It becomes the final.

Your sign-off is saved on the file with your name and the date. That copy becomes the one everyone opens.

Set up for you, on the Microsoft 365 you already pay for.

You still work in Word. You still make the call.

You open files in Word, Excel, or PowerPoint the way you do today. While someone is editing a file, everyone else can see it is in use, so nobody saves over anybody. Nothing becomes final until a person signs off.

Every file keeps a record of who approved what and when, plus its earlier drafts. When someone asks who changed a contract, the answer is on the file, not in somebody's inbox.
